The clinic buying guide

Add AI or replace your clinic software?

Keep your platform when records, charting and scheduling work well and the gap is a specific workflow. Consider replacement when the underlying clinic operations are the problem. Test the handoff between systems before buying another tool.

The checklist below is our editorial purchasing advice. Linked vendor descriptions provide examples of the different approaches; they do not establish which tool fits your clinic.

01 · Name the bottleneck before the category

An unanswered phone, slow clinical documentation and missing campaign attribution call for different tools. Write the problem as an observable event: what happens, who handles it now and which record must change when it is fixed.

  • Do you need a new clinical record system or better work around the existing one?
  • Would a specialist improve one task without creating a second source of truth?
  • Which current tools and processes are worth keeping?

02 · Identify the owner of each record

Map the patient record, appointment, consent, note, membership balance and payment to the application that owns it. For an add-on, identify the exact read and write operations. A named integration alone does not tell you whether it can complete your workflow.

  • Ask where staff correct a duplicate or wrong patient match.
  • Check whether cancellations and refunds flow back to the original system.
  • Ask how connection errors become visible and who fixes them.

03 · Evaluate a replacement as a migration

A broader platform can reduce handoffs, but moving the clinic affects more than AI. Include staff training, historical records, photos, consents, inventory, package credits and outstanding balances. Agree on reconciliation and rollback before a cutover.

  • Test the complete patient visit, from booking to signed note and payment.
  • Request the exact migration scope and a synthetic import demonstration.
  • Check how you export complete records if you later leave.

04 · Evaluate an AI layer as an operating dependency

An AI layer depends on its connections and permissions. Start with a narrow workflow and define failure behavior. Ask what staff can do when the connection is unavailable, who receives alerts and how the clinic reviews what the agent changed.

  • Verify action permissions and staff approval boundaries.
  • Demonstrate the workflow in your exact software, not a generic calendar.
  • Measure the manual reconciliation work the new tool introduces.
