The clinic buying guide

How to evaluate a medspa AI receptionist

Start with the appointment record. Ask the agent to book, reschedule and cancel in your clinic software, then inspect each result. Evaluate handoffs and cost only after you know which work it actually completes.

The checklist below is our editorial purchasing advice. Linked vendor descriptions provide examples of the different approaches; they do not establish which tool fits your clinic.

01 · Define the work you need covered

Write down your busiest periods, after-hours inquiries, typical service names, provider rules and staff escalation path. Separate new consultations from repeat treatments. A useful brief names the final action: answer a question, capture a request or complete a booking.

  • Keep your existing number and routing requirements in the brief.
  • Name the provider, room and service restrictions the agent must respect.
  • Choose the exact plan and connection that will be demonstrated.

02 · Follow the booking into the original calendar

A booking link can be a useful handoff, but it leaves a different task for the patient than a completed appointment. Verify the final appointment, patient match and resource allocation in your own software. Repeat the test after changing or cancelling it.

  • Does a completed appointment appear in the original clinic calendar?
  • Are deposits and required forms part of the same workflow?
  • What happens if someone takes the slot while the caller is deciding?

03 · Make a handoff fail during the demo

Use a synthetic question that belongs with clinical staff. Ask for a transfer when nobody answers. Inspect what the patient hears, which staff member receives the context and how the outstanding task stays visible. Have your care team approve the escalation script.

  • Can the agent stay within the clinic’s approved information?
  • Where do staff find the recording, summary and unresolved question?
  • Can you disable or change a workflow without losing the phone line?

04 · Compare the complete phone bill

Ask for base subscription, included usage, overage, existing telephony, setup, messaging and outbound charges. Use the same call-volume estimate for every quote. Keep payment fees and any additional clinic software outside the AI subscription visible.

  • Get the currency, billing period and cancellation terms in writing.
  • Ask how transferred, failed and spam calls are counted.
  • Request the relevant data-processing agreement, access rules and retention settings before using patient information.
