The clinic buying guide

Compare the total cost of medspa software

Build the quote around your locations, staff, expected usage and required modules. A per-user platform, a per-location AI layer and a call bundle cannot be compared by their starting price alone.

The checklist below is our editorial purchasing advice. Linked vendor descriptions provide examples of the different approaches; they do not establish which tool fits your clinic.

01 · Use one operating scenario

Give each vendor the same location count, billable staff, monthly call volume, messaging volume and payment volume. Include the modules you need today. Keep future expansion as a separate estimate so it does not hide the current purchase decision.

  • Name the billing unit: user, practitioner, calendar, location, minute or call.
  • Record whether the displayed price requires annual billing.
  • Separate required modules from optional upgrades and temporary promotions.

02 · Separate the first year from an ordinary month

Setup and migration can make the first year substantially different from later years. Request a dated quote that itemizes each charge. Ask what data can be imported, who checks it and what happens to unused packages or outstanding balances.

  • List implementation, training, number porting and hardware separately.
  • Record migration and export fees, with the exact data included.
  • Include overlapping subscriptions while the team moves systems.

03 · Make usage costs visible

Ask how minutes, calls, texts, AI credits and workflow runs are metered. Apply your expected usage and a busier month to each quote. Ask what happens when the allowance runs out: overage, automatic upgrade, throttling or service interruption.

  • Write down the included allowance and rate for each excess unit.
  • Check whether each location has its own allowance or shares a pool.
  • Ask whether failed workflows, transferred calls and retries consume usage.

04 · Compare cost with observable work

Agree on a baseline before the pilot: staff time spent, unanswered inquiries, completed bookings and collected payments. Keep these measurements separate. A recovered appointment is not automatically collected revenue, and revenue is not profit.

  • Compare the cost for the exact workflow both vendors complete.
  • Record manual work that remains for clinic staff.
  • Use your own pilot results rather than vendor ROI headlines.
