How to handle after-hours calls at a med spa

Give after-hours callers a defined next step: a supported booking, a callback request or a staff handoff. Decide which requests can be completed automatically, who reviews anything unresolved, and how the outcome reaches the clinic’s existing calendar.

Choose what happens when the front desk closes

Start by separating unanswered calls during opening hours from calls that arrive after closing. An overflow call may still reach a staff member. An overnight inquiry may need a callback window and a different escalation destination. Write both routes down before selecting software.

Choose the smallest useful first scope. For example, the clinic might allow consultation inquiries and callback capture after hours while leaving treatment suitability and exceptions to its team. A friendly answer is useful only when the caller understands what has actually happened.

  • Define opening hours, holidays and the timezone for each location.
  • Say whether a request is booked, pending or awaiting a callback.
  • Assign the next working-day review to a named staff role.

Keep booking rules attached to the source calendar

A list of opening hours is not live availability. Before enabling direct booking, verify the provider, service duration, room or equipment requirements, buffers and consultation rules in the system the clinic uses. If the integration only sends a booking link, describe it that way.

Use a synthetic caller to ask for a slot that has just become unavailable, a different provider and a reschedule. Inspect the original calendar afterwards. If the connection fails, the fallback should capture a request without telling the caller that an appointment is confirmed.

  • Demonstrate one successful booking and one unavailable slot.
  • Check that one appointment produces one confirmation.
  • Keep a fallback route when the calendar or phone service is unavailable.

Test the handoff before expanding coverage

The clinic should define which questions leave the administrative workflow and who receives them. Test a request for a person, a question outside approved information, an unanswered transfer and a caller who does not want to leave a message. Overnight routing must not depend on a staff member who is only available during the day.

Measure answered calls, booking requests, confirmed appointments and unresolved callbacks separately during the pilot. Compare matched periods and review outcomes with staff. Do not count every answered call as recovered revenue: an appointment can still be cancelled, missed or unrelated to the change.

Questions to resolve before rollout

Can I keep my existing clinic phone number?

Ask the provider and your phone carrier to demonstrate the actual forwarding or routing setup. Confirm what happens when forwarding fails, who owns the number and how you restore the previous route.

Should every after-hours call be booked automatically?

No. Limit automation to approved administrative requests with verified availability and permissions. Other inquiries need an accurately labelled callback or staff handoff.
