Connect the workload.
Plan the transfer separately.
Keep the tools that work. Verify one AI workflow before expanding it. If the clinic needs a full replacement, give its records and financial obligations their own migration plan.
An editorial evaluation checklist, not a tested importer or a claim that every listed connection supports every action. Never use patient or payment-card data in a buying worksheet.
Name one workload
Start with a concrete administrative task: an after-hours booking, a cancelled appointment or an unbooked enquiry. Name the final record that should change.
- Define what stays with staff.
- Write the success and failure outcomes before the demonstration.
Keep an owner for each record
Identify the authoritative patient record, calendar, consent, note, balance and payment ledger. Adding AI should not create ambiguity about where corrections happen.
- Record which system reads and which writes.
- Verify the object, direction, plan, permissions and location for each operation.
Test the handoff with synthetic data
Ask the vendor to demonstrate the exact configuration you would buy. Inspect the original calendar and record after each change, cancellation and failure.
- Check a conflicting appointment and an unanswered staff transfer.
- Withdraw contact permission and verify the appropriate follow-up stops.
- Check which system sends reminders so messages are not duplicated.
Confirm your country and operating limits
US and Canadian account eligibility, billing and available operations can differ. Obtain the written scope for the clinic’s own plan and locations.
- Confirm currency, support hours and ownership of phone numbers and accounts.
- Request the actual processing, access, retention and export arrangements.
- Have your organization assess its own legal and clinical requirements.
Treat a full transfer as a second project
Moving selected AI workloads is different from moving the whole clinic. Inventory historical notes, photos, signed consents, future bookings, packages and financial obligations before any cutover.
- Request exact import/export formats and scope; do not infer them from a customer CSV.
- Reconcile sample records, counts, balances and attachments in an authorized test.
- Use the payment processor’s approved procedure for saved cards; never put card data in a worksheet.
Agree on acceptance and rollback
Name who signs off, who receives errors and how the clinic continues if the new system becomes unavailable. Keep the original operation until acceptance criteria are met.
- Test export and access arrangements before retiring a system.
- Document rollback conditions, timing and responsibilities.
- Measure completed work and remaining staff effort separately from estimated savings.
Bring the evidence to your decision.
Record the vendor, plan, country, required operation, record owner, source, demonstration date, limitations, reviewer and acceptance result. An unanswered question stays unknown. A successful synthetic test does not establish clinical outcomes or future uptime.
